Proposal Assistant

Overview:

In this position you will be part of a small, growing, dynamic team/department. The challenges of a growing company require a can-do attitude and a comfort with software. A successful team member will have strong writing aptitude, a good memory and be agile in Microsoft Office Suite applications (particularly Word and Excel). Experience in the environmental field and/or with CRM configuration, principles, and utility are desired but not necessary.  You will be learning and supported by a seasoned team that’s been an award-winning firm in the environmental services market for almost 30 years.

Day-to-Day Expectations:

  • Training!   Initially you’ll be training with the proposal and support team to learn what, why, how and when.  It typically takes 3-6 months of training and doing to become proficient with our basis proposal and marketing needs.
  • Proposal preparation, scoping and costing with Sr. and support staff via emails, phone calls (the occasional text), a CRM system, and electronic files
  • Assist accounting with Proposal department analytics to assess performance and forecast business
  • Curate proposals, marketing materials, and supporting documents
  • Collaborate with project managers to forecast project costs
  • Provide clients with a wholesome experience, from first contact to last

Tasks:

  • Writing of proposals in Word and finalization into PDF
  • Prepare excel worksheets and reports (pivot tables, cost estimates, etc.)
  • RFP/RFQ response packaging and coordination
  • Team member prioritization of daily tasks and workload
  • CRM Review, maintenance, and reporting
  • Timely and clear email communications from internal & external sources
  • Review available data to assist in scope of services writing
  • Record Management in CRM and Cloud Servers (IE Dropbox, Box, SharePoint, Google Drive, etc.)
  • Drafting of marketing materials for publication, social media, and proposals

Responsibilities:

  • Grammatically correct and well-formatted proposals

  • Professional, timely, and friendly communications via email, phone, and in-person
  • Assisting the Proposal Team in response to the Principal’s, Senior Manager’s, and Project Manager’s requests.
